Identifying Critical Cybersecurity Vulnerabilities

Brisbane Boys’ College recognised the growing cybersecurity threats facing educational institutions in today’s complex digital landscape. With schools becoming attractive targets for cybercriminals due to their comprehensive repositories of sensitive information, the College identified the strategic need to strengthen its incident response capabilities.

“Schools are becoming bigger targets as time goes along because schools contain substantial repositories of information and are a big honeypot for hackers,” explains Ben Greenup. “The hackers could access and obtain considerable amounts of data on a lot of people – it’s good bang for buck for them.”

While the College had implemented robust technical controls and employed capable staff, they identified strategic gaps in their incident response processes that needed to be addressed. The existing critical incident response framework, while effective for conventional emergencies, wasn’t specifically tailored for the unique challenges presented by cybersecurity incidents.

Implementing a Multi-Faceted Cybersecurity Resilience Strategy

Digipro IT partnered with Brisbane Boys’ College to implement a comprehensive cybersecurity preparedness program consisting of two key integrated components designed to enhance overall institutional resilience:

  1. Comprehensive cybersecurity tabletop exercise – a structured simulation experience engaging key stakeholders including the school executive and IT team.
  2. Customised cybersecurity incident response plan – a detailed framework for coordinated response in the event of a cyberattack.

“We divided the solution into three components: technology, people, and processes,” says Greenup. “While we had robust technology like firewalls and other protections, and a team of highly skilled experts, our main focus needed to be on the processes. That’s where Digipro IT played a crucial role.”

The implementation began with extensive preparation meetings where Digipro IT worked closely with the College to understand the roles of executive team members and critical systems. This information was used to create highly relevant scenarios that would engage all participants.

“Digipro IT tailored the exercise, so each member of the College executive felt a personal and professional connection to the scenario,” notes Greenup. “I’ve seen other events where someone in the room thinks ‘Well, this isn’t my problem.’ However, this scenario was designed to engage everyone in the room, making them feel included and part of the problem that needed to be solved.” 

Enhancing Institutional Security Posture

The program delivered several key improvements to the College’s cybersecurity posture:

  • Enhanced cross-functional coordination – Improved communication channels between departments during incidents.
  • Formalised cyber incident response protocols – Clearly documented procedures for various incident types.
  • Strategic integration of IT in crisis management – Ensuring technology experts are involved in all critical incident responses.
  • Redundant communication infrastructure – Identification and documentation of secondary communication methods when primary systems fail.
  • Institutional confidence in response capabilities – Increased assurance in the ability to manage cyber incidents effectively.

“I certainly feel a lot more comfortable in our preparedness to respond to a cyber-attack,” states Greenup. “Now we can just grab the plan and put it into action.”

The exercise revealed valuable insights about existing organisational capabilities that weren’t previously documented or widely communicated across departments.

“A surprising result was the number of mitigating strategies and contingencies that were already in place across various areas of the College but not documented or known across the College. The Cyber Incident Preparedness program enabled everything to be documented in the one place.”
